Vehicles and Violins organized by Calgary Motors Dealers Association Charitable Fund

Vehicles and violins is an annual event organized by the Calgary Motors Dealers Association Charitable Fund (CMDACF), a body formed by the Calgary Motors Dealers Association (CMDA), which is aimed towards providing a better healthcare and educational facilities to the community of Calgary on behalf of its dealer members. Since 2000, this gala has been held every year to raise money for charitable causes. To date, more than four million dollars have been raised successfully by the patrons, members, and donors who have attended the gala and donated. The event is held as a part of an auto show, and the guests are allowed an exclusive view of the auto show prior to the normal exhibition. They are treated to various hospitalities, including dining and entertainment. Auctions are held for donations and raising the fund, and the guests are encouraged to participate in them. This year will mark the 21^st anniversary of the event, and the funds will go to Discovery House, a non-profit organization.

Event leadership needs assessment (5Ws)

Every event leadership requires the necessary foundation of the 5Ws, which are based on the events and decide the entire planning process for the event. Ensure that all the requirements of the event are met, and there is room for little to less negligence on the planning part. This would The 5Ws generally consists of the following:

• Why: this covers the reason the event is being held for. Starting from the primary reason to the downright secondary reason that needs to be addressed. Also, what will be the takeaway from the event will be.
• Who: This covers the people who will be attending the event and their brief profiles (if required). The guests can be regular event attendees or new additions to the guest list. The guests should have proper verification before entering the event. This would ensure that there is no unwanted entry in the event.
• When: This coves the date of the event and the period in which the event would be held. This is decidedly one of the most crucial aspects as misinformation in this regard would end up the guest missing the event.
• Where: This covers the venue of the event. This also includes the space distribution for the event, and in the case of multiple locations, it needs to be covered under this point.
• What: This covers the main agendas and objectives of the event, the purpose of holding the event, and the vision behind it. Also, it lays out an itinerary of the vent, and helps in planning and regulating the activities if the event.

Implementing the 5Ws of needs assessment for Vehicles and Violins organized by CMDACF

Who?

The attendees would be high profile VIPs from various backgrounds and belonging to numerous prestigious institutions in Calgary. Since Discovery house mostly concerns the welfare of children’s and women, it is advisable to invite guests working for organizations which deal with women and children as well as previous patrons, such as Alberta Children’s hospital, Alberta Cancer Foundation, ALS Society of Alberta, Calgary meals on wheels, Calgary prostate cancer foundation, Calgary breast cancer foundation, Parkinson society of Alberta, Kidsport Calgary, Make a wish-southern Alberta and others. Members from the CMDA can also be invited among the other VIPs

Why?

The event is being held for raising funds for the Discovery House, which is a social profit organization aimed at raising funds for women and children who want to escape from the clutches of domestic violence. Discovery House was established in 1980 (the first second based shelter in Calgary), and offers long term safe shelters for women and children, and help them start their lives anew. The mothers are provided with counseling so that they are encouraged to move on and never return to their abusive partners. Furthermore, wellness initiatives and education programs are offered for the children so that they can gain independence and overcome the trauma and shock, which were the direct results of domestic abuse. The children and women are provided with mental-health professionals, case managers, and education experts.

It is most likely that the children who have faced violence at a young age could be the perpetrators or victims of abuse when grown up. This is prevented by changing their life trajectory early on. The members at discovery house had mapped up a childhood programming partnering with experts from Harvard and the University of Calgary to prevent domestic violence in the minds of these children when they grow up. The youth programs focus on the development of self-esteem, confidence, and regulation of one’s mind.

When?

The vehicles and violins event will be held on the 10^th of March 2020. The event will be starting at 5:30 pm, during which the attendees will be treated for an exclusive preview of the auto show. The fundraising event would follow this soon after.

Where?

The event will be held at the BMO center. It is the largest convention center in Alberta. It is located in stampede park, which comes under the Beltline district, and in the south of downtown Calgary. This is a single venue event, and all the subsequent events included in the Calgary auto and truck show would be happening at the same venue during 11-15 March.

What?

The gala will be hosted as a part of the Calgary international auto and truck show. The event will be starting at 5.30 pm (as discussed previously under “when”), and there would be an exclusive preview of the 2020 Calgary auto show for the invitees. The auto show would then be followed by a live musical performance by the Calgary Philharmonic Orchestra. Live International cuisine and complimentary drinks. The purpose of the event is to hold auctions and raise money for the benefit of the Discovery House, which is working towards the benefit of children and women who have escaped domestic abuse. The event is expected to host around two hundred and fifty guests on the evening of the gala.

Conclusion:

This year will mark a new collaboration of Vehicles and Violins and Discovery House. The 2019 charities were held for the Alberta children’s general hospital and had raised about 100,000 dollars for its cause. The event will be separated from the actual exhibition starting from the 11th of March and ending on the 15th of March^. The tickets booked for the gala would also contribute to the cause. The tickets are priced at 150 dollars, which would be exempted from the general goods and services tax (GST). Fifty percent of the ticket is tax receiptable (which means the donor can include the donations made by them in their tax receipts).
