Therefore for this project, and the acceptance management process will be initiated and implemented. The process will allow the client to sign off that each of the delivered product is as they desired. This will increase the customer’s satisfaction and confidence in the company for future reference. The process involves three steps which are completing the deliverables, performing acceptance testing, and finally gaining customer acceptance. In the first step, the project manager checks with the project team if the deliverables are complete and ready to be tested for completion.

In the second step, the performance acceptance testing is initiated.  The project manager and the customer will test the website to ascertain them it is working accordingly. At the beginning of the project, a client has the specific features he would love to put on the website. Therefore, together, they will cross-check if every feature is included. If the web page is working accordingly, and the customer is satisfied. Then the project manager completes an acceptance form listing all deliverables. In the final step, the customer acceptance, the customer reviews the acceptance form and signs off that he received and accepted his website.

Closing the project management plan.

After the customer presents the acceptance document and settles payment, the project is now ready for closure. The project manager performs the project closure by first writing a confirmation statement to the financial managers who will confirm the finances have indeed been settled, and the project can be closed. The project manager then writes a project closure report. This report summarizes the project’s scope, the performance of the project, if the desired end product was achieved or not, and the success and downfalls of the project. A financial performance reporting and lessons learned by the stakeholders and the future project suggestions should also be included. This document is presented to the stakeholders for review and approval. Then, the archive documents that were prepared in the project initiation and have been updated o the changes made on the way are updated on the completion of a project and stored for reference. Then officially, the project is closed. The project manager can later perform a post-implementation review to weigh the benefits of the new website and also lessons learned for future projects.

Explain how the procurement contracts will be closed.

One of the activities involved in project closure is procurement closure. The procurement contract has to be closed before the closure of the project. The first thing the PM has to ensure is that the contract has reached the end line or completion. Once the vendor delivers the website, and it’s validated to be efficient, the contract is closed by the two parties signing off that they agree to the termination of the contract. The project managers ensure to document the terminated contract for future use.

Running a project can be easy or hard, depending on how strategic it is planned. Throughout the project, I have learned that it is essential to limit the project to the scoping plan, ensuring that time and budget are managed appropriately. It is also essential to re-evaluate any changes introduced to the project. Its effect on the project itself and on the project scope should be well evaluated before integration with the project’s initial plan. Also, it is essential to manage the project team appropriately. The project team determines the success of the project, and if they do not work together, then the project is as good as dead. Moreover, the PM always needs to motivate them to improve their performance. Factors like project quality assurance and risk management also affect the project outcome and need to be considered. Quality assurance requires testing all the project deliverables before it is handed over to the client. Also, project closure should be completed systematically by ensuring the client is satisfied with the product, and all procurement contacts are closed. The project should be documented for future reference. After closure, it is important to thank all the stakeholders involved too.
