I hope that this memo finds you well. I would like to bring to your attention my interest and proposal to research the above subject matter. My planned research is about the implementation of alternative systems of communication in place of our usual email correspondences.

Effective communication is ideal for the smooth running of business activities undertaken at any given organization. Managers and supervisors communicate with the junior staff when issuing instructions or guidance on how some work is to be conducted. The same communication is passed from the juniors to their bosses through various channels. At Techwise Enterprises, we chose email as our main channel of communication; however, in the recent past, a number of my workmates have raised complaints of not receiving emails sent to them on time while some don’t receive any. This has led to some being ideal in the office since no work is somehow assigned to them, while others choose absenteeism as an excuse. This is a severe breach in terms of communication and poses profound effects and, if not addressed, would be catastrophic to our business and success as a whole.

For one to be productive, there has to be a good working relationship, which is achieved by efficient communication. An employee may need to bring a serious matter to the attention of his seniors or fellow employees, and if there are challenges in conversation, the organization suffers the consequences. Ideas on innovation and ways of enhancing business undertakings are channeled through effective communication.

The secondary research that I conducted about the problem touches on the benefits of using text messages as a form of communication in the workplace. Our workplace has had several instances of miscommunication, as email has been ineffective. If we can try some other means, say short text messages, and even through WhatsApp, Tech-wise Investments would be a step ahead in as far as communication is concerned.

The primary research that I consider ideal for conducting on the benefits of texting as a mode of communication in our work would be through conducting in-depth interviews on the affected colleagues. This shall be done by taking notes of their misfortunes and establishing their take on alternatives modes of communication that they propose. The strategies I would consider when setting this qualitative interview would be first to make a plan- this will be done by making an interview guide, which basically would spell out the kind of questions I will be putting across. At this juncture, I will think critically about the overreaching research goals and the type of information needed for implementation. This guarantees a focused methodology to question, which plays a significant role when analyzing the results. Secondly, I will consider asking precise questions to elicit thoughtful and detailed responses as required in a qualitative interview. To achieve this, I will endeavor to avoid leading questions, avoid interrogation, and instead ask open-ended questions on the experience my colleagues have concerning emailing as a media for communication. Besides, I would encourage story-telling, whereby I will be able to get them to describe the misfortunes that they encounter.  I would also acknowledge the emotions and see if we can explore how best to arrest the situation. Third, piloting the interview with a colleague will help in evaluating ways that encourage elaboration and participation. Pilot interviews will gauge the effects of various styles of questioning. Fourth, I would employ active listening techniques that offer the participant my attention.  This is achievable through maintaining eye contact, nodding, well-timed, and occasional use of verbal encouragement, for instance, ‘yes,’ ‘Uh-huh’, avoiding interruptions, and striving for empathy.

My recommendation on the problem is that our company should embrace the use of short –text messages as there is a guarantee that the recipient will get the information provided they have the communication gadgets. This will guarantee a positive response and swift action on the matter at hand. Also, it would block employees from absconding duty on the pretext of no assigned tasks or instruction since everyone will be catered for. The office should undertake to supply each worker with gadgets exclusive for work communication. This should be portable so that an employee would be reachable even when out of office, considering no data is needed to access the information as compared to emails that require data and logins. All these are potential benefits that Tech-wise enterprises will realize by authorizing this research and putting my recommendations into consideration.

In conclusion, I would like to humbly request authorization in researching the benefits of texting in the workplace. It is my profound belief that once granted the greenlight, the above-stated recommendations will help catapult our organization to the next level and in tandem with the ever-growing technology.
