1.0 Executive summary

The purpose of this paper is to analyze and offer recommendations to the top management of process Leadership Company. The company is located in North America and typically works on one to six projects with different companies working towards establishing a collaborative working environment. Based on collected data regarding the information on communicational challenges, the paper will critically analyze and come up with a conclusion and give recommendations towards this challenge.

2.0 Introduction

Effective communication within an organization is essential since it enhances the smooth operation of activity within an organization. Process Leadership is experiencing poor communication, which is hurting the organization. Several factors have been pointed out as the leading causes of information breakdown. These factors include changes in communication systems and generational differences. In the company, there are three types of generations who have different communication preferences. Robert Murray, who is a Canadian business strategy consultant, suggested that the three-generation have a different view on various forms of communication. The research paper is therefore developed to critically analyze the poor communication being experienced in the organization by analyzing the appropriateness of mobile phone, email and in-person meetings and give recommendations to the top management of process leadership.

3.0 Findings

3.1 Generational differences in the appropriate form of communication

After conducting thorough research and inquiry on three groups which include; Generation X, Baby Boomers, and the Millennials, their preferences to the three types of communication and the appropriateness of mobile phone use in a meeting by age data analysis was carried out and presented in tables. Based on the results of the collected data, it was evident that the Baby Boomers preferred face to face communications while passing out information. Generation X preferred the use of email or instant messages while communicating with different people in the organization. The Millennials preferred the use of text messages while passing out information to different individuals within and outside the organization.

An inquiry conducted on the three group’s views on the appropriateness of carrying their mobile phones when attending business meetings also portrayed a difference among the three groups. The young group whose ages ranged from 21-30 years, 31-40 often moved tier phones to various meetings while those at the age of 41-50, and 51-65 said they rarely or never carried their phones in a meeting. While responding to the question concerning checking time by the use of their mobile phones, Millennials had the highest number of mobile phone users to check the time. However, Generation X had a mixed reaction concerning how often they checked the time using their phones. The baby boomers rarely used their phones to check the time while attending various meetings.

Questions on answering phone calls, Browsing the internet, excusing self to answer a call, checking a text message, checking incoming calls, and checking text messages had a similar outcome. Based on this research, it was evident the Millennials who were the younger people in the organization led in using their phones while in a meeting. At the same time, Generation X followed, and last were the Baby Boomers.

3.2 Effects on business communication

The Generational difference portrayed in the appropriate form of communication to use while communicating within the business hurts the organization. The organization is having three groups of different age had to experience the effects of poor communication. Having a difference in the appropriate means of connection to use, this meant that the delivery of information was going to be a significant challenge in the organization. Baby boomers could often miss information communicated by the use of mobile phones due to the limited time they interacted with these gargets.

In contrast, the Millennials could miss information passed on a face to face interactions. Though sharing some shared views with the two groups, Generation X could also miss essential information since they heavily relied on email for communication purposes (Murray, 2017).  These differences pose the effect of loss of information and communication breakdown, which could lead to the company making huge losses as well as encountering legal issues during its operation.

4.1 Conclusion

Based on the analysis done concerning the challenge being experienced by Process Leadership, we can conclude that poor communication was brought about by generational differences and preference on the appropriate form of communication to use while passing out information. The age difference was the main contributing factor as each of the three groups had a preferred form of communication hence leading to information loss within the different levels of the organization.

5.1 Recommendations

After carrying out an analysis and conclusion of the problem at hand, the following recommendations can be useful to the organization while solving the problem of poor communication. The top management should decide on the official means of connection to be used while passing out information within the organization. Also, training on the use of modern forms of contact should be conducted within the organization to enable the Baby Boomers to use the current forms of communication, which may be a great challenge to this particular group. Implementation of these recommendations will help solve the problem of poor communication within this organization.
