Overview
In today’s word, information sharing is one of the crucial aspects of a business or government. They can be for a variety of purposes, such as promoting a brand, creating awareness, the launch of new products, the start of new services, or any other news that needs to be spread to a larger population. There can be many methods of said information sharing, which are backed by both private and government agencies. Mass communication nowadays can be channeled through various factors, and include either printed, written, or audio-visual means. Methods
The government or a private organization can share their information on a recent incident through various channels. These channels could be their own, leased from outside, or individual freelancers with an audience. The main motive is to make use of their already existing audience of the medium and use them to spread the news further (Nechita & Rezeanu,2019). Information sharing in these cases can be of two types: Internal and External. Internal information sharing is confined within the government agencies or the company departments and employees. External information sharing generally involves sharing the news with an outside population or a group of people present outside the government or the company, like a third party, a neighboring country government, or a business associate outside the company.
The most common means of information sharing these days are telephonic calls. With the advancement of technology, video calling facilities have been introduced to callings as well, which enables the caller to see the face of the person with whom he/she is communicating. Furthermore, it allows the caller to add multiple persons on the call, who may not be present in the proximity of each other. A famous person might communicate to a broader audience with the help of video calling. (Benzaia, Ku, & Naidu,2020). Another medium through which internal communication is possible is through letters, notices, emails, faxes, memorandums, printed orders, intercom systems (which involves a microphone and speakers which would be placed at various spots where maximum people could be reached) and others.
For external communication, there are mainly two types of channels: Printed media and electronic media. Printed media includes printed information on paper, which would enable people to read and understand the incident, such as newspapers magazines, pamphlets, etc. electronic media, on the other hand, relies on electronic equipment such as television, radio, internet, and others. Electronic media is generally faster and cheaper than printed media, as it can relay information quickly and effectively, and takes up very little time to initialize. That is why governments around the world prefer this medium to spread the news among their population (Pontoh et al. 2018).
Conclusion:
In case of any significant incident which needs attention, it is indispensable for a government or a company to spread information about any recent event to both internal and external audience if it is required. Failure in doing so might put the morality of the government or the management in question; furthermore, people may become suspicious and might think negatively about the officials. This may end up in a lack of goodwill for the company as well as a bad reputation for the government, resulting in their subsequent downfall.
