Melbourne Institution of Technology (MIT) is a growing learning institution that currently has two primary campuses in Melbourne and Sydney. These campuses have various faculties and departments with numerous employees and admissions. Unfortunately, the campuses have been having different systems installed at the faculty levels for their operations. Multiple departmental heads and deans of faculties have to meet frequently at the vice president’s office to discuss the issues at the department levels as they give reports. It imposes a significant challenge to the management of this college since they cannot oversee the daily operations of the campuses, and they only have to wait for the end month reports. In that case, it was an excellent proposal to come up with a system that can ensure effective management for the effective delivery of services to the stakeholders of this institution. In that case, the e-MIT Project was proposed as one of the appropriate initiatives that can help the management in overcoming the challenges that it has been experiencing in the past. This project proposal provides the project planning document based on the overall parameters of the e-MIT Project, establishes the appropriate project management plan, and the quality environment needed to complete this Project. It also assesses the project issues, conducts the post-project review like lessons learned, as well as making recommendations for the improvements for future projects.

Thus, the e-MIT Project plan is geared towards the design, development, and implementation of the Integrated Management Information System (IMIS) for the effective service delivery in this institution. The IMIS will integrate various major MIT’s information systems, which include Students Academic Information System (SAIS), Financial Management Information System (FMIS), Executive Information System (EIS), Human Resource Management Information System (HRMIS), and Supplies Procurement and Faculty Management Information System (SPFMIS). The IMIS aims at offering an environment to quality performance of the core functions of MIT, which will lead to effective service delivery.  The Project will address the Information Technology (IT) needs of the students, the faculty, and the administrative staff.  It will also enable MIT to render effective administration by integrating the two campuses with different faculties as well as interoperability of all the systems via shared databases, the online document management, along with proper IT infrastructure. The envisioned e-MIT System Project will be the platform for integrating, harmonizing, and inter-operating the Information Systems and the infrastructure across all the faculties of this institution.

The execution of this project will take a period of 12 months from the initiation phase to the final step with an estimated budget of $200,000. It will be peer-steered by three members who will form the project team tasked with the responsibilities as Project Manager, System Developer, and Project Administrator. They will seek approval from the project sponsor, who will be the MIT management. The e-MIT Project Team, the Project Sponsors, and the partners will then review the RFO responses starting immediately after submission deadline whereby they will contact the proposing team for clarification so that they can understand the design and the demonstration concepts for this proposed initiative. This process will lead to Kick-off Workshop, in which the proposing team will perform the component and the requirement analysis, provide the recommendation for the initiative architecture, and advice on the demonstration concepts. After that, a meeting will be held for the evaluation decision on the technical matters for assessment of whether the proposed Project is workable or not. The team will also develop a proper communication channel to air their views to concerned individuals.
