The above tools are necessary for offering the gym services and are likely to attract the clients when the services provided are diverse with multiple activities. Mindful will require two of each of the listed equipment for the start of the business and also accommodate the rented space of 578 square feet, and other of the equipment is installed in the outdoor space offered. The equipment will give the clients confidence that their body fitness is guaranteed by the diverse activities promoted by using the equipment. The new equipment will be sourced to ensure minimal breakdown is experienced when handling the exercises. The equipment is then arranged in the premise and ensure each of the equipment is placed on the right place to ensure all activities are offered in the best environment

Space Layout

The floor layout of the business premise includes an extension to a roofed room that is used for dance exercises and is equipped with a sound system. The training room is where most of the equipment is installed except the yoga equipment that has its unique place. The training room is where a treadmill, dumbbells, abduction machine, and others are used for body exercises. The massage and yoga services are offered in the massage room using the yoga equipment. The clients will be expected to use the shower room and also the dressing section after the exercises.

Logistics

Mindful will use the Fishbowl inventory management software that helps the business track the membership subscription and the schedule of each client to ensure services are delivered to all clients. Fishbowl Inventory software costs $4,395 for permanent ownership, making it cheaper and convenient (Fishbowl, 2020). The inventory system will help in budgeting operational expense and capital to facilitate planning. The inventory ensures that buying and storing of equipment and other requirements are recorded in the inventory. Mindful body fitness will acquire a telephone for the office at the cost of $80 that facilitates communication within the facility and also with suppliers. The suppliers necessary for the facility include toiletries, cleaning suppliers, and office supplies. The receptionist will have the responsibility of managing the inventory and inform the manager (owner) when the supplies are below the set minimum to ensure they are ordered and delivered before clearing the stock in the store.

Procedures and Systems

Mindful will operate only through client membership mainly on monthly terms, and the transaction starts from the client communicating to the organization through the reception by telephone calls, email, or walk-in. The organization will respond by providing the client with the different packages offered that include monthly, annual, and daily subscriptions. The client will then choose the package and the best schedule for them. The client will finally pay for the subscription to the cashier in the reception area and start the exercise program.

Mindful will ensure its website is well designed and updated regularly for the clients and potential clients to know the newly introduced services and also discounts that are offered. Mindful will also source a digital register for $100 that ensures that each client signs in for every session to ensure each client is served based on their subscriptions. Mindful will also protect the client’s belongings by developing a well-locked cabinet and also provide each client lists their stored items to verify them when they leave the premise. Mindful will handle customer complaints with a positive attitude having the interest to know what real customers need to attain their satisfaction. Mindful will invest in the social media platform where the client will channel their complaints as comments and use them for improvement purposes. Customer satisfaction results in business building a positive reputation and spreading positive worth of mouth. Mindful will source a cash register that comes with a simple inventory at the cost of $200 that helps in recording client data immediately after paying for the package.

The cash register also keeps the records for the number of days a client has received the facility service based on their subscription membership. The mindful owner will develop invoices and payroll for the business since the operations are still minimal in the first business year. The invoices and payroll information is forwarded to the employee email account and only printed when an employee demanded to protect the information. Mindful will use Shopify for marketing the gym services to the right customers. The cost of using the Shopify service is $79 per month. Shopify will help in marketing the new business to the market by putting an autopilot with the app.

Organization

The organization owner will be the general manager of the gym. The job description of the general manager includes overseeing the gym budget, managing the employees’ payroll, and coordinating the purchase of new equipment. The owner also will provide a pleasant working environment of the employees by ensuring that the compensation and necessary resources are offered accordingly. The owner, under the role of general manager, will also consider increasing gym membership, oversee training services, and ensure the organization makes a profit from its services. The gym supervisor takes the second position in the chain and will play the role of coordinating activities of clients, ensuring that trainers are performing their duties accordingly. A gym supervisor will ensure each fitness instructor offers quality services and also effectiveness. The receptionist and the two trainers will be under the management of the gym supervisor, and their role is to provide services to the client and also take orders from the supervisor. The trainers and receptionist will undergo training that ensures that they develop strong customer relations and excellent communication skills that help in promoting the business and also build a strong reputation increasing the number of customers.

Mindful Gym will be operating for 12hrs between 8 am and 8 pm from Monday to Saturday. The employees will be working on the stated hours because all the employees work on a full-time basis.

Mindful Gym will encourage some of the trainers to subscribe to the package that entails them having their trainers, especially when the number of clients keeps on fluctuating. The employees are paid every month, where each staff works 312 hours a month. The payroll of employees will be completed by the third week of every month. The employees of Mindful Gym will offer a fixed salary for the employees that are paid for the first year of business

Regulation

Mindful will seek the business permit at the cost of $200 annually that ensures that the business is conducted according to the federal and local laws of Canada. Mindful will also consider trademarking the company name to ensure the brand is protected. The company is a sole proprietor, and the owner has the responsibility of making all the decisions. Mindful Gym will not require an accountant in the first year of operations. Mindful will not consider joining a professional association in the first year because it focuses on developing business through cutting on production costs and target on marketing platforms. Mindful will register with Better Business Bureau (BBB) at the expense of $660 that market that ensures the gym business information is spread to reach a broader scope (International Association of Better Business Bureau, 2020). The organization will consider filing its returns online by seeking the services of a professional at the cost of $150 that ensures that Mindful complies with Canada in paying taxes.
