The projects intend to create change in healthcare by enhancing the process associated with the sharing and exchange of images from the patients, thus replacing the tedious and lengthy process.

Project goals: To send and receive breast images electronically instead of using CDs.

The project intends to provide an easy mechanism of sending breast images to Emory. The intended goal is to start receiving images more electronically instead of patients presenting CDs.

Project rationale: The project will help simplify the process of sending and receiving images.

There were a lot of inquiries about how we can replace a very tedious and time-consuming process of sending and receiving images. We had patients bringing in CDs for just a reference and institutions calling Emory to figure out how to send their patients exams. The project is, therefore, essential to ensure that images are sent and received electronically, reducing the work process and time.

Project scope: The parameters of the project will include radiology support, the information technology department, and a web designer.

Project process:

What: Steps on how to send breast images to Emory Healthcare.

Who: 3 team members: one radiology support, one information technologist, and one web designer.

When: The project is scheduled to start on January 20, 2020.

Where: Conference room DG03

How: A series of meetings to discuss and talk about the steps will be set up to accomplish the goal.

Go through the test environment to make sure the steps are correct, and images are received accurately.

Project deliverable: A PowerPoint presentation and the website with the steps and directions on how to efficiently receive images.

Project members, resources, and their responsibilities: 4 team members, Waleed (radiology support), Amy (web designer), and Nadine (Information Technologist) while I will work on PowerPoint.

Four team members, Waleed (radiology support) will come up with the steps needed to follow, Amy (web designer) will put the website together, and Nadine (information technologist) will go through the test environment I will work on the PowerPoint.

Meetings will be scheduled on 1/22/20, 1/29/20, 02/05/20, 02/28/20, and 03/02/20 in the conference room to make sure everything is on track. I will host the meetings and provide refreshments. At the end of the project, I will send an email with the PowerPoint presentation attached to the department managers to inform them about the new website and where they can find the information to provide to their patients and other institutions wanting to send images to Emory.

Project limitations: Members not attending meetings and completing their tasks on time.

The main factor that will limit our ability to complete this project is making sure everyone can attend the meetings and getting everyone to achieve their part by the time it is due.

The will start on January 20th, 2020, with the final PowerPoint presentation and website being ready by March 2nd, 2020. Waleed will be responsible for the completion of the step between 127th and 20th January, and a meeting will be held on 22nd January 2020 for updates. Nadine will check on the testing in the test environment between 17th and 24th January 2020 and the meeting to check the updates for that will be on 29th January 2020. Amy and Sabrina will be responsible for the Website and PowerPoint drafts between 24th and 28th February 2020 with an update meeting that will be held on 5th February 2020. Sabrina will be responsible for the feedback review of the Website and PowerPoint on 28th February 2020, and a meeting will be held on the same day for updates. The entire team will be responsible for the completion of the final Website and PowerPoint on 3rd March, and on the same day, a meeting will be held for updates.

 

Criteria for Success of Project:  Feedback from the managers and the ability of institutions and patients to send images effectively.

The success of the project will be measured based on the feedback from managers, and if the patients and institutions are successfully able to follow those steps and send the images electronically.

Project implementation strategy:  Meetings throughout to check on achievements.

Adjustment of timescale.

Set deadlines.

We will have scheduled meetings throughout the project to ensure each objective is achieved. The worst-case scenario we will plan for is if a team member gets sick, which we will have to adjust our timescales to allow for contingency plans to ensure the project continues to be implemented. We will have deadlines that we will rely upon to ensure all tasks are completed on time.

Module One

The project’s leadership style is a democratic one.

The democratic leadership will help achieve objectives and goals.

Transformational leadership will also be used.

Transformational leadership will promote positive interaction among the members.

Interactions create a conducive environment for everyone.

Conducive environment motivates the team to work hard.

Effective leadership approaches in project management helps in promoting success and the achievement of goals and objectives. Transformational and democratic leadership styles will be used in this project. The democratic approach will help in ensuring the leader focuses on the teamwork for proper decision making as well as ensuring the project’s goals are met. Transformational leadership will help promote interactions among the team members, which will create a conducive working environment that will motivate the team to work hard. Transformational leadership was needed to create a vision and inspire hospitals and caregivers to adopt it.

Module Two

Practiced self-management: No supervision was needed.

Collective organizational consciousness was shared.

The inspirational character was the strength of a transformational leader.

Integrity and unity are the values of the team members.

Bringing change was the project’s culture.

Ideal communication was the lesson learned from the module.

We practiced self-management, such that we loved what we did and did not require anyone to supervise us. We shared a collective organizational consciousness by being transparent with each other about actions we would take to achieve the desired results. As the leader, I was inspirational and ensured that integrity and unity were maintained through considering every member’s ideas while appreciated new ideas. Transformational leadership is what led to the success of the project as members of the team came up with brilliant ideas. The culture our team depended on was the culture of change, where we believed we could change the healthcare sector by facilitating the exchange of cancer information among the relevant stakeholders to promote better decision-making processes on cancer management. During the week’s discussion, I learned that communication is essential when a transformation is required in a project.

Module 4

Conflict arose during implementation form differences in ideas.

Disagreements were solved amongst ourselves.

Fractionation and differentiation were strategies used to solve conflicts.

Communication, member appreciation, and working for a common goal helped in team building.

Encouragement built a cohesive community and psychological connection.

Learned the importance of appreciating diversity in problem-solving from the previous meeting.

Communication strategies are essential in conflict resolution.

In the third week of implementing our project, conflict arose among group members due to different perceptions of ideas that were brought up during the meeting. During this moment, members found themselves in a disagreement context where each one of them tried to prove the authenticity of their points. We still managed to solve the conflict amongst ourselves, resulting in an amicable agreement. We employed fractionation and differentiation as our main strategies in resolving the conflict, which I feel were essential strategies for solving our differences. We were able to build a community in our team. Community building entailed effective communication, member appreciation, as well as working towards a common goal. From our previous meeting, I learned the importance of having diverse ideas among members as a diversity of opinions would undoubtedly lead to a better solution to problems. A combination of the different communication strategies, such as differentiation, face-saving, and fractionation, are recommended to enhance proactive leadership in the workplace setting.
