ISO refers to Record Management as a field of management responsible for the efficient and systematic control of creating, receipt, maintaining, using, and deposition of records (Bisias, Flood, & Valavanis,2018). It also involves the process of capturing and preserving information evidence about the organization’s operations and transactions in the form of records. Record management also ensures that the company saves its file and produces them when it is required.
RM consists of the evidence of an organization’s operations, usually regarded as according to the value of the records compared to its physical format. The essential abilities of record management are to assigning a unique identifier to an individual’s records (Bisias, Flood, & Valavanis,2018). It also plays an important of safeguarding the records against unauthorized changes made by those records and creating an unbreakable audit trail for purposes of accountability and retrieval.
It ensures unauthorized modifications are prevented by enhancing airtight procedures manually or by the use of software applications such as encryption to keep the document from being changed after verified as a record (Canu et al.,2020). It ensures records are preserved and being able to identify who modified and at what time.
It’s essential to notice that these abilities are critical in finding solutions that help them. Some records on various organizations such as healthcare and governments need to manage for decades and digital technology that tends to change frequently and upgrades faster(Canu et al.,2020). The document provides data related terms recognized by the industry management enabling the readers to have a foundation from what is required by the industry regardless of the product name used by vendors.
RM has a software application called Record Management Applications(RMAS) that is used by the company to manage its records (Cutter et al.,2019). Its function is to categorize and locate records; therefore, identifying files that are due disposition. The software also determines, retrieves, and disposes of electrical documents stored in a repository through integration with related core EDMS. Therefore it should be noted that RMA is significant in any organization due to its functions.
