Communication
Proper documentation and effective communication are integral components for the success of any healthcare organization, and failure to incorporate them may result in change resistance when coping with a new system. I would address the issue of documentation by ensuring that patient’s records are documented immediately after the event to be written down has happened, and before the responsible staff leaves the office, in case of system delay the records should be noted down manually and updated in the system as soon as the system becomes operational. I would also encourage the staff to do the documentation to avoid the use of abbreviations, which might lead to confusion unless for ones that are common and can be easily recognized by the general public such as HIV for Human Immunodeficiency Virus. Using abbreviations may be challenging to analyze and interpret data when there is a change of staff. I would liaise with the management of the hospital to ensure that effective communication channels are put in place (Silvestre, Santos, de Oliveira-Filho & de Lyra, 20170).
Effective communication of key information is critical towards achieving documentation and other objectives of the organization. Having the right communication channels ensures that documented records are transferred to the relevant authorities at the right time, interpretation and evaluation of the documents are timely and improves the process of decision making. Training the staff makes them understand the new system and how to enter records into the system. Saravo, Netzel & Kiesewetter (2017), notes that correct entry of documents minimizes data errors and improves the process of documentation and results in making the right decisions. Moreover, training of staff improves customer service since the staff are enlightened on how to handle customers and record their data which, results in a few patient’s complaints. Apart from communication, employee involvement in policymaking is also critical since they are able to give out their views on certain policies that might affect them in their activities. Employee involvement in policymaking simplifies the process of policy implementation since the employees have an understanding of what they are implementing, and chances of change resistance are minimized.
